1. Introduction

MelodyTrace ("MelodyTrace", "we", "us", or "our") operates a website that converts audio and video to MIDI, renders MIDI back to audio, and provides related music tools. This Privacy Policy explains what information we collect when you use our website and services (together, the "Service"), how we use and share it, and the choices and rights available to you.

This Policy applies to all visitors and users of the Service, whether or not you create an account. Some features work without an account; others (such as saving conversion history or purchasing credits) require one. By using the Service, you acknowledge the practices described here. If you do not agree, please do not use the Service.

2. Information We Collect

2.1 Information you provide when creating an account

If you choose to register, we collect:

• Your email address and, if you sign up with email and password, a password (stored only in hashed form).
• If you sign in with a third party such as Google or GitHub, we receive the basic profile information that provider shares with us (typically your name, email address, and profile picture).
• Optional profile information you choose to add.

2.2 Files you upload, record, or generate

To perform a conversion, the file you provide is transmitted from your browser to our servers (and our conversion processing service) for processing. This includes:

• Audio files you upload (such as MP3, WAV, FLAC, M4A, AAC, AIFF, and OGG).
• Video files you upload (such as MP4, MOV, and WEBM), from which we extract only the audio track for transcription.
• MIDI files you render to audio, and any SoundFont (SF2/SF3) files you supply.
• Audio you capture using the microphone recording feature.
• MIDI files and note data you create or edit using our tools, including edits made in the piano-roll editor.

We process these files to carry out the conversion, rendering, transcription, or editing you request and to return the result to you. We do not use your files to train machine-learning models, and we do not sell them.

If you use the result-sharing feature, the generated result associated with your share link may be stored and served to anyone who has the link, until you delete the shared result or your account.

2.3 Conversion history and task data

If you are signed in, we store records of your conversion tasks (such as the task type, settings used, timestamps, and references to the input/output files) so you can view your history and re-download results. When you delete a task, it is removed from your history and its share link is invalidated; underlying stored files may be retained for a limited period in backups before being removed.

2.4 Payment information

If you purchase credits or a subscription, your payment is processed by third-party payment providers (such as Stripe, PayPal, Alipay, or WeChat Pay). We receive and store a record of the transaction (such as the amount, currency, status, and a transaction identifier), but we do not receive or store your full card number or bank credentials.

2.5 Communications and support

If you contact us (for example, through the support widget on our website or by email at support@melodytrace.com), we receive the information you choose to include, such as your email address and the contents of your message. We keep support ticket records to handle and follow up on your request.

2.6 Information collected automatically

When you use the Service, we and our providers may automatically collect:

• Usage data — which tools or pages you use, actions taken, referring pages, and general interaction patterns.
• Device and connection data — device type, operating system, browser type and version, language, and approximate location derived from your IP address.
• Log data — IP address, timestamps, and error/diagnostic information generated when the Service is accessed.
• Attribution data — the site or campaign that referred you (for example, a utm_source value), so we can understand how the Service is discovered.

2.7 Cookies and similar technologies

We use cookies and browser local storage to operate the Service (for example, to keep you signed in and to remember language, theme, and interface preferences), to protect the Service against abuse, and — where enabled — to measure aggregate usage and serve advertising. See Sections 5 and 6 for details.

3. How We Use Information

We use the information described above to:

• Provide the audio, video, and MIDI conversion, rendering, transcription, and editing features you request.
• Create and manage your account, conversion history, and shared results.
• Process payments and deliver purchased credits or subscriptions.

• Diagnose technical problems, monitor performance, and prevent fraud, abuse, and violations of our Terms of Service.
• Respond to your inquiries and support requests.
• Analyze aggregate usage to understand how the Service is used.

If you are located in the European Economic Area or the United Kingdom, we process your personal data under the following legal bases:

• Performance of a contract — to provide the features you request and to manage your account and purchases.

Where the law requires, we will request your consent before serving personalized ads.

7. How We Share Information

We do not sell your personal information. We share information only in these limited circumstances:

• Service providers — hosting, infrastructure, conversion processing, analytics, and email providers that process data on our behalf under confidentiality and data-protection obligations.
• Payment processors — to process your payments; they receive the information needed to complete the transaction and are governed by their own privacy policies.
• Advertising partners — where advertising is enabled, third-party vendors (including Google) may collect information through cookies as described in Section 6.
• Legal and safety — to comply with applicable law, regulation, legal process, or enforceable governmental request, and to protect the rights, property, or safety of MelodyTrace, our users, or the public.
• Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy or a successor policy with equivalent protections.

8. Data Retention

We retain information only as long as necessary for the purposes described in this Policy:

• Uploaded and recorded files are kept for as long as needed to process your request and deliver the result; if you are signed in, output files linked to your conversion history or an active share link may be stored until you delete them or close your account, after which they are removed through routine cleanup and backups expire.
• Account information is kept while your account is active and for a limited period afterwards if needed for legal or operational reasons.
• Payment records are retained as required for accounting, tax, and legal compliance.
• Log, usage, and diagnostic data may be retained for a limited period for security, troubleshooting, and analytics, then deleted or anonymized.
• Support correspondence is kept as long as needed to handle your request and for our records.

Because MelodyTrace does not guarantee long-term storage of your files, please keep your own backup of any file that matters to you.

9. Data Security

We use reasonable, industry-standard measures such as encryption in transit, access controls, and monitoring to protect the information we handle. No method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.

10. International Data Transfers

The Service may be operated from, and your information processed in, countries other than the one in which you reside. Where we transfer personal data across borders, we take steps to ensure an appropriate level of protection consistent with applicable law, such as relying on recognized transfer mechanisms (including standard contractual clauses) where required.

11. Your Privacy Rights

Depending on where you live, you may have some or all of the following rights regarding your personal data:
